Keeping your wedding planning organized and secure is essential. With the new collaboration features in Timeline Genius, you have complete control over who can access and contribute to your timelines. Here’s a step-by-step guide on how to revoke access for collaborators using the latest system.
Steps to Revoke Access for Collaborators
Follow these simple steps to remove a collaborator's access:
Open the Checklist:
Start by opening the specific checklist from which you’d like to revoke someone’s access.Go to the Collaborate View:
Click on the “Collaborate” tab in your checklist to view the list of collaborators and sharing settings.Select the Gear Icon:
In the Collaborate view, locate and click the gear icon to open the collaboration settings.Click the 3 Dots Next to the Collaborator's Name:
Find the collaborator whose access you wish to revoke. Click the three dots (or options menu) next to their name.Select "Revoke Access":
From the dropdown menu, select “Revoke Access.” This will immediately remove their ability to view or edit the timeline.
The new system not only allows you to share your timelines seamlessly but also provides full control to manage and modify collaborator access as needed. This ensures that your timeline remains secure and that only the right people have the ability to view or contribute.
Note: Before you can revoke access, the collaborator must have either received an invite or accepted an invitation to collaborate. If no invite was sent or accepted, there won’t be any access to revoke in the Collaborate view.
Understanding the Old Sharing Feature
If you shared a checklist using a link from the old sharing system, please note that there is currently no built-in way to revoke access from these links. Users who received this link may still have limited access to your checklist.
Important Points to Note:
No Ability to Revoke Access:
Once a link was shared using the old feature, you cannot revoke access. At the time, we informed users through a modal that sharing was a one-way action with no option for revocation.
Collaborator Limitations:
If someone is accessing your checklist via the old shared link, they won’t have full editing privileges. They can only perform limited actions, such as marking tasks as complete. They will not be able to make any substantive edits to the checklist.
What You Can Do:
If you need to restrict someone from accessing your checklist via the old link, the best approach is to politely ask them not to use the link going forward.
If they need continued access, consider sharing the checklist using the new "Collaborate" features, where you have more control over inviting and revoking access.
Potential Future Solutions:
We understand that this may be a point of inconvenience. If multiple users experience issues related to old share links, we may consider finding a solution that would deactivate these links. Stay tuned for updates if this feature becomes a necessity.
