Assigning checklist items to specific parties in Timeline Genius helps tailor your checklist PDFs for efficient collaboration and task management. This guide will show you how to assign tasks and create customized checklist PDFs.
How to Assign Checklist Tasks
Assigning Tasks Individually:
Access Edit View:
Open your checklist and navigate to the "Edit" view.
Edit Assignments:
Click the dropdown arrow next to a task and select "Edit Assignments."
Check the boxes for all parties you want to assign to the task.
Click "Save" to confirm the assignments.
Bulk Assigning Tasks:
Access Assign View:
Open your checklist and navigate to the "Assign" view.
Select Parties:
In the "Assign" view, first select the parties you'd like to assign to tasks.
Select Tasks:
Choose the tasks you want to assign to the selected parties.
Make Assignments:
Click "Make Assignments" to apply the assignments to the chosen tasks.
Remove Assignments:
You can remove assignments by selecting tasks and clicking the "Remove Assignments" button, or by clicking the "x" on the color-coded assigned person for a task.
Default Assignments
Using the Wedding Template:
When you create your checklist using the wedding template, tasks will automatically be assigned to the party the system thinks they should be assigned to.
Customizing Assignments:
You can always remove or adjust these automatic assignments to better fit your specific needs.
Using Previous Checklists:
If you use a previous checklist to create a new one, note that assignments do not carry over to the new timeline. This feature is in our queue to implement in future updates.
Creating Tailored Checklist PDFs
Review Assignments:
Before generating your checklist PDF, review and ensure all tasks are assigned correctly.
Generate Tailored PDF:
To preview a collaborator's tailored checklist, simply click on that person's name in the panel to the righthand side.
This will be collapsed in the mobile view
The PDF will reflect only assigned tasks, making it easy for each party to see their responsibilities.
