How to Download/Export Contacts from a Timeline

Export or download clients, wedding party, vendors, and venues from a Timeline as CSV files for better organization and integration.

Maximizing the potential of your professional network is essential in the event planning industry. Timeline Genius offers a feature that allows you to export your contacts—vendors, venues, and clients—into a spreadsheet, making it easier to manage your relationships and communications. Here's a quick guide on how to export your contacts from a timeline.

📋 Want Vendor Contacts on Your Full Timeline PDF?

The Venue/Vendor/Wedding Party Contacts section can appear directly on your Full Timeline PDF — it is not limited to CSV export only. If your vendor contacts are not showing up on your full timeline PDF, it is likely because the Contacts section is not assigned to the Full Timeline. Here is how to fix it:

  1. Open your timeline and go to Edit View.

  2. Scroll to the Venue/Vendor/Wedding Party Contacts section.

  3. Click the section settings/dropdown and make sure it is assigned to the Full Timeline.

  4. Re-download your Full Timeline PDF — your vendor contacts should now appear!

Note: If you created this timeline using a previous timeline as a template, the section assignments may not have carried over correctly. You will need to manually reassign the Contacts section to the Full Timeline in Edit View for each affected timeline.

If you would prefer to export your contacts separately as a CSV file (for use in email marketing tools, CRM systems, etc.), follow the steps below.

Step-by-Step Guide: Exporting Contacts as a CSV

  1. Access Timeline Actions:

    • Navigate to the top of your Timeline Genius interface.

    • Click on "Timeline Actions."

  2. Select Download:

    • From the dropdown menu, select "Download."

  3. Choose Contacts to Export:

    • You will see options to download different types of contacts (clients, wedding party, venues, vendors).

    • Select the contacts you wish to download.

      • If the wedding party contacts are not appearing in this list, please make sure you have added wedding party contacts to the timeline first.

  4. Download CSV Files:

    • Click the "download" button.

      • Note that contacts exported this way will download as CSV files.

      • If you select more than one type of contact, they may download as a ZIP file.

        • Double click the Zipped file to open it.

  5. Open and Utilize:

    • Open the downloaded files on your computer.

    • You will have access to well-organized lists that you can use for various purposes.

With your contacts now in a spreadsheet, you can:

  • Create a Preferred Vendor List: For quick reference.
